Adding and Viewing Work Order Costs

In SOMAX, you will be able to add the estimated and the actual costs of a work order so you may view and compare the two. This article should describe how to do so.

Adding an Estimated Cost of a Work Order

  1. From the left sidebar, select Maintenance, then Work Order, then Search.
  2. Select the work order you would like to view. If you cannot find the one you would like, check your settings and filters at the top. For more help, see Filtering and Viewing Work Orders/Requests.
  3. From the left menu, select Estimating, then Other.
  4. Select +Add Other at the bottom.
  5. Select the source of the vendor as external or internal. This is the only required field, though you may also select the particular vendor, the description of the work order, the unit cost, and the number of hours you think it may take. A chart below will describe these different fields in more detail.
  6. Select Save at the bottom right. 



FieldDescription
SourceThe only two options are Internal or External. If the work order is to be completed by personnel within your organization, select Internal. If it is to be done by an outside company, select External.
VendorThis is the particular vendor you would like to complete the work order.
DescriptionDescription of what needs to be done in the work order.
Unit CostCost of work per time frame. Ex: $/hr
Quantity Number of time units you estimate the work to take. Ex: 5 hours


Adding an Actual Cost of a Work Order

  1. From the left sidebar, select Maintenance, then Work Order, then Search.
  2. Select the work order you would like to view.
  3. From the left menu, select Actual, then Other.
  4. Select +Add Others at the bottom.
  5. Select the source of the vendor as external or internal. This is the only required field, though you may also select the particular vendor, the description of the work order, the unit cost, and the number of hours you think it may take. The chart above will describe these different fields in more detail.
  6. Select Save at the bottom right.


Viewing the Costs of a Work Order

  1. From the left sidebar, select Maintenance, then Work Order, then Search.
  2. Select the work order you would like to view. This should take you to the Work Order Overview page.
  3. You should see a Costs widget, with a bar for parts, labor, and other. Depending on your selection, these numbers will be for the Actual or Estimating Costs.
  4. To switch selections between Actual or Estimating, click Actual or Estimating at the top right of the Costs menu and select the other.
