Planning & Approving the Work Request

Once you have Set Up Planning in the Configuration Module you are ready to begin using the Work Order Planning process. After you have sent a Work Request to Planning. The assigned Planner can begin to Plan the Work Order and once the Planning is complete Approve or Send it for Approval.


This article describe how to perform these processes.


Planning


Once assigned to a Planner, the Planner can then begin the Work Order Planning process by reviewing the Work Order requirements and  adding any photos, tasks, attachments, estimated costs, and parts needed. 


NOTE: Once a work request is sent to be planned, its new status is Planning and no longer "Work Request," and it can be found under Open Work Orders. A Planner can also find Work Orders Assigned to him using Work Order Filters.

Approving the Planned Work Order


Once the Work Order is Planned, the Planner can send it to be can send it to a themself for Approval or different Planner if the Planner is not a Planner for the work required to be completed. 


To Perform this process:

  1. From the Work Order overview, select Action and then Send for Approval.
  2. Use the dropdown menu to select who needs to approve the Work Order. Remember that a Planner can send it to themself for Approval.
  3. Select Save.


Once the Work Order is sent for approval, the new status is then Await for Approval rather than "Planning." 


To do so straight from the work order overview, which is most useful if the approver is the planner: 

  1. Select either Action then select Approve.
  2. Select Yes to confirm.


To do so from the Approval Workbench, where you can also schedule it:

  1. From the left menu, select Maintenance, then Work Order, then Approval.
  2. If you cannot find the work order, use the dropdown menus to filter your search.
  3. Select the checkbox of the work request and use the dropdown menus under "work assigned," "shift," "scheduled date," and "scheduled duration" to simultaneously schedule the work request.
  4. Select Approve at the bottom right.


Later Steps
