Asset Availability

Asset availability refers to the asset's status/accessibility. The main two statuses an asset can be at are In Service or Out of Service, though an asset can also be Inactivated or Scrapped.


This article should explain the significance of asset availabilities as they relate to other modules and how to view and change between the four different types.



Asset Availability & Other SOMAX Modules


While asset availability is useful for keeping records of the different pieces of equipment in your organization, it is also important when related to work orders/requests and preventative maintenance. For more information on work orders/requests and preventative maintenance, see:


Asset Availability & Work Orders/Requests


The relationship between assets and work orders/requests can be summarized in the following:

  1. Initiation: Work orders/requests are often initiated when there are issues with assets that may cause it to go out of service, making them dependent on asset availability.
  2. Service: Work orders detail the tasks that are performed on assets to ensure that are working properly.
  3. Tracking: Work orders also help with tracking the performance of assets as they record work done on the asset and gather details on the asset's efficiency. This tracking is also useful in gathering data to make follow-up work orders or predictive maintenance.


Asset Availability & Preventative Maintenance


The relationship between assets and preventative maintenance can be summarized in the following:

  1. Data on Maintenance Needs: Schedules on PMs are based on the maintenance needs of different assets, which can be identified through recommendations from the manufacturer, environmental condition needs, performance history, and criticality.
  2. Service: PMs work to ensure that assets are performing up to par. PMs can include assets inspections, cleaning, replacement, and more.
  3. Data on Performance: PMs provide data on asset performance as they monitor the work that the asset does, as well as asset health and conditions. 



The Different Asset Availabilities


This section should describe each of the four statuses of an asset as well as how to view and switch between them.


The Four:

  1. In Service: Properly functioning asset
  2. Out of Service: Asset that cannot function
  3. Inactivate: An asset that is in service, or can function properly, but is not being used
  4. Scrapped: An asset that is out of service, and cannot function, and is not being used


Viewing the Status

  1. From the left sidebar, select Maintenance and then Asset
  2. Check your filters by looking at the three grey lines at the top right and the words next to it. The possible options to switch between are "Active," "Inactive," and "Out of Service". Switch between the three until you find the asset your are looking for. 
  3. Assets under "Active" will either be In Service or Out of Service, but are still used in your company. Assets under "Inactive" will either be "In Service" or "Out of Service" - the ones that are in service are inactivated assets, while the ones that are out of service will be scrapped. Assets under "Out of Service" will only be Out of Service



Updating/Changing Status

  1. Once you have found the asset you are looking for and wanting to update, select it.


If you would like to switch between In Service or Out of Service:

  1. Scroll down to where it says Asset Availability within the Asset Overview Page.
  2. If it is In Service, select xRemove. You must select the reason for the asset going out of service, though the expected return date and comments are optional. Select Save.
  3. If it is Out of Service, select Return. 



If you would like to Reactivate/Inactivate an Asset:

  1. Select Action at the top left and then Inactivate or Activate.



If you would like to Unscrap or Activate a Scrapped Asset:

  1. Select Action at the top left.
  2. Reactivating the asset will keep it out of service but active - this means that the asset is not functioning but still considered part of your company. Select Activate.
  3. Returning from Scrapped will make the asset In service and Active, meaning that it is functioning and part of your company.
