In SOMAX, an asset is defined by a piece of equipment in your company. For example, they can be a physical piece of equipment, a location, or a vehicle, and can look like:
- conveyor systems
- assembly lines
- pumps and valves
- industrial ovens
- mixers
- trucks
- forklifts

Assets Repairable Spares
Note: See Repairable Spares
SOMAX allows you to create Assets that are Repairable Spares. Repairable Spares are generally Assets that can be moved from location to location and are interchangeable. An example would be a large motor that can be on a blower. This motor could be replaced with another motor while it is being repaired. Once repaired it could be placed in storage waiting to be used.
Assets vs Parts
There are both assets and parts in SOMAX. Assets are typically the "whole" piece of equipment or machinery that, when composed of all of the necessary parts, perform specific functions for your company. Parts, on the other hand, are the pieces that may compose the asset.

Important Asset Overview Information
SOMAX will help you characterize and sort your assets by their type, line, system, and more. This section will focus on each of these properties and help describe the different menus shown below and how to navigate them.
Asset Properties at a Glance
The very top menu is an easy way to quickly glance at the most important details of your asset and can be edited if needed by the form fields at the bottom of the overview page. While it does not include every form field, it does include the asset's:
- Availability (ex: In Service)
- Asset Name (ex: KALLFASS #3 @BLOW MOLD)
- Asset ID (ex: 1152-KALFASS)
- Status
- Number of Open Work Orders Charged to Asset
- Number of Work Requests Charged to Asset
- Number of Overdue PMs (Preventative Maintenance) on Asset
The chart below provides detailed descriptions of each of these fields and any other ones found in the full list below the "Asset Downtime" menu.

Asset ID | Your organization's ID for the asset. See Data Validation Rules for Asset IDs for help as to what characters are allowed. |
Name | Your organization's name for the asset. See Asset Planning & Naming for more help. |
Category | There are three categories for Assets: Equipment, Location, Vehicle. |
Critical | Checking this box will mark this asset as critical to your organization. |
Department, Line, and Area (Asset Groups 1, 2, and 3) | The asset groups that you have created will appear on the asset form fields, and you may use the lookup lists to choose from them. For example, your asset groups may be department, line, and area, meaning that the lookup lists for your possible departments, line, and area will show. For more help with asset groups, see Setting up Site Details. |
Serial No | Asset's Serial No. |
Type | Asset's category or type. Possible options can be created in the asset Lookup Lists. |
No Part Cross Reference | Checking this will signal to the SOMAX system not to automatically add parts when issuing parts. Helpful if you want to manually add parts to your asset. See Linking Assets and Parts for more help. |
Make | Manufacturer of the asset. |
Model | The asset's official model name or number. |
Account | Account that the asset is linked to. |
Asset Number | Any number associated with the asset that is different than the asset's ID. |
Warranty | This section provides information on the asset's warranty's expiration date, vendor, and description. For more help, see Adding a Vendor & Warranty to an Asset. |
Asset Downtime
Downtime refers to how long the asset has been out of service/use. This widget should display the history of the asset's downtime in the past week, month, or 90 days. You may switch between the time frames by using the dropdown menu. For help adding downtime, see Adding Asset Downtime.
Work Orders by Type
This widget should display the history of the work orders that have been charged to the asset in the past week, month, or 90 days by their type. You may switch between the time frames by using the dropdown menu.

Availability
This widget should display the asset's availability, which is essentially the status of the asset and can be in service or out of service. You may change the asset to out of service by clicking the xRemove button and view the asset's availability log by clicking View Log. For more help understanding and changing the asset's availability, see Asset Availability, which will also cover returning an asset to service, inactivating an asset, and scrapping an asset.
Asset Parts & Other Items: The Left Menu
The left menu shows other properties of the asset. The chart below provides descriptions of each of these other properties as well as links for more information.
