In SOMAX, a part is a component of a larger piece of Asset / Machinery. Depending on the Asset / Machinery that they make up, they can be:

gears
motors
circuits
bearings
belts
sprockets

Assets vs Parts

There are both assets and parts in SOMAX. Assets are typically the "whole" piece of equipment or machinery that, when composed of all of the necessary parts, perform specific functions for your company. Parts, on the other hand, are the pieces that may compose the asset.

Parts & Inventory

There are multiple ways to track and record inventory on parts - manually or automatically through the SOMAX system.

You can manually update parts' quantities after counts through the physical inventory section or within the part's information. For help with this, see Physical Inventory on Parts.

You can also manually update parts' quantities after purchases outside of the SOMAX system through the receipt section. For help with this, see Manually Adding Part Receipts.

You can generate part cycle counts through the cycle count section. Cycle counts depend on the count frequencies of the parts, which can be edited in the part's information. For help with this, see Generating a Part Cycle Count.

Finally, parts' quantities will update automatically after purchases within, or through, the SOMAX system. For help with purchasing parts, see About Purchasing.

Important Parts Overview Information

SOMAX will help you characterize and sort your parts by their manufacturer, section, stock type, and more. This section will focus on each of these properties and help describe the different menus and how to navigate them.

Parts Quantities at a Glance

The very top menu is an easy way to quickly glance at the most important details of your part and can be edited if needed by the form fields at the bottom of the overview page. While it does not include every form field, it does include the part's:

Photo
ID
Description
Quantity on Hand
Quantity on Order
Quantity on Request

The chart below provides detailed descriptions of each of these fields and any other ones found in the full list of form fields.

Field	Description
Part ID	The ID Code for the part. See Data Validation Rules for Part IDs for help as to what characters are allowed.
Description	Any details about the part.
UPC Code	The barcode for tracking for the part.
Account	Account that the part is linked to.
Stock Type	Type of stock part this is generally a bearing would have a stock type of BRG
Issue Unit	How this part is issued Ex: Each, Bag, Box or Gallon
Manufacturer	The manufacturer of the part.
Manufacturer ID	The manufacturer's ID.
Critical	Designates if this is a critical part for the equipment. Helpful for filtering/sorting.
No Asset Cross Reference	Checking this will signal to the SOMAX system not to automatically add assets when issuing parts. Helpful if you want to manually add assets to your part. See Linking Assets and Parts for more help.
Location	Any details about where these parts would be located, such as their place area, section, row, shelf, bin.
Count Frequency	Frequency for counting this part, the more critical the part the more often you should count it.
Last Counted Date	The Last date a Physical Inventory was done on this part
Maximum	The Maximum number of Parts you want to keep on hand
Minimum	The Minimum number of Parts you want to keep on hand. This is the point where SOMAX determines that the Part should be ordered. (SOMAX uses at or below Minimum as a reorder point)
Costs	Any details about the costs of the part

Part History

This widget shows any activity regarding the part such as any purchase requests/orders, stock outs, adjustments, and receipts.
