Printing Purchase Orders & Receipts

Printing your purchase orders and receipts can be helpful with records and internal tracking, even though purchasing through SOMAX does automatically update inventory.


Please note that if you would like to print a copy of the full receipt, you must do so while completing the purchase order.


Before or after completing orders, you may print the orders or the receipts. You can directly select the orders you would like to print at a time; this will include information on all of the line items but not information on what you have received. You may print multiple receipts at a time, but this will also only include information such as their status, vendor, and more. Finally, you may print individual line item labels for Stock Parts


This article describes how to print receipts in bulk (multiple at a time) or individually.


Printing Purchase Orders in Bulk

  1. From the left sidebar, select Procurement and then Orders.
  2. Apply any filters you would like to in order to narrow down which orders you want to print. You may do this by selecting the three grey lines at the top left and selecting which status you would like to view, or you may filter by details by selecting the filter icon. For more help, see Filtering and Viewing Purchase Requests, Orders, and Receipts.
  3. Select the checkbox in the leftmost column of every order you would like to include, and then select the printer icon. 
  4. Follow the printing instructions on your computer to finish printing.



Printing Orders Individually

  1. From the left sidebar, select Procurement and then Orders.
  2. Select the order you would like to print by clicking its ID in blue. If you cannot find your receipt, check your settings/filters. For more help, see Filtering and Viewing Purchase Requests, Orders, and Receipts. Note that partially completed receipts will be labeled as "Open".
  3. Select Action and then Print. This will open a new window with your document.
  4. Select the Printer icon at the top and follow the printing instructions on your computer to finish printing.



Printing Receipts in Bulk

  1. From the left sidebar, select Procurement and then Receipts.
  2. Apply any filters you would like to in order to narrow down which receipts you want to print. You may do this by selecting the three grey lines at the top left and selecting which status you would like to view, or you may filter by details by selecting the filter icon. For more help, see Filtering and Viewing Purchase Requests, Orders, and Receipts.
  3. Select Export at the top right, and then select Print. You may also export these receipts into a pdf, csv, or excel spreadsheet and then print in that format.
  4. Follow the printing instructions on your computer to finish printing.



Printing Line Item Labels

  1. From the left sidebar, select Procurement and then Receipts.
  2. Select the receipt you would like to print line item labels for. If you cannot find your receipt, check your settings/filters. For more help, see Filtering and Viewing Purchase Requests, Orders, and Receipts.
  3. Scroll down to the Line Item Menu.
  4. Select the printer icon next to each line item you would like to print labels for. Please note that you can only print labels for stock items.
  5. Select the size of the QR Code, and follow the printing instructions on your computer to finish printing.
