This section will list ten of the steps recommended, but not required, for a smooth and successful implementation and/or transition from other platforms to SOMAX CMMS applications.
For more help with how to actually set up the SOMAX system, see the articles under "Configuration."
1. Organizational structure: Decide in the beginning who is responsible for the installation and implementation of SOMAX. This person will have a direct line of authority and communication. This contact will eliminate many pitfalls and drive the solution.
2. Security clearances: Decide in the beginning who and how the users will be structured, as changing security profiles after training is completed requires additional training.
3. Hardware selection: Discuss this with SOMAX prior to purchasing. Although SOMAX does not recommend devices and/or manufacturer's, SOMAX has experience and knows certain requirements are necessary for the product to perform properly.
4. Hardware / Software testing: Perform extensive hardware and support software testing on all devices including WiFi for mobile. Many times training and implementation is delayed due to finding issues, which only creates additional delays and perhaps additional costs.
5. Data Sources and Manipulation: Determine where the current data is stored and who will be entering new data. If the user is going to use existing data from another platform, discuss this with SOMAX before starting the implementation and make the necessary decisions as to what is being uploaded. SOMAX can at that time determine the scope and time demand to perform the manipulation necessary and upload viability of the data.
6. Training: Determine a training schedule. There are several ways to accommodate training: Support Site, Webinar, Phone Support, and On Site. It is recommended that at minimum the System Administrator have sufficient training to “Train the Trainers.”
7. Funding: A short discussion with a trained SOMAX representative can help identify ideas to quantify savings thereby justifying the funding.
8. Data Record Entry: Determine at the very onset of implementation what the acceptable minimal level of data entry is required for the site. This will manifest in what/how many fields must be filled in order to record and save data.
9. Labeling - While labeling is time consuming and not necessary for functionality of SOMAX, labeling will drive significant cost savings in maintenance labor and provide for very detailed reporting.
10. Reporting: Make decisions working with your SOMAX implementation team on which metrics are desired. Additionally, during implementation you may want to develop the necessary "customized" reports while SOMAX is training your staff.
